Voting Procedures for 2008 Election

It is time to begin preparations for our Annual Meeting and Officer Election.

Agenda Requests for the Annual Meeting

All 2008 Annual Meeting Agenda requests must be submitted to the Executive Committee by the August 30, 2008.

Open EC Positions and Voting Procedures

Two Executive Committee positions are open: Secretary and Member-at Large. The requirements for these positions are listed at the bottom of this e-mail. All persons nominated must be at least 18 years of age and voting members of Sonoran Sunrise Grove. Members can only run for one elected office at a time.

The time line for the election is as follows:
Nominations period August 1, 2008- August 15, 2008
Acceptance of nomination with a candidate biography by August 29, 2008
Paper ballots mailed to the membership by September 12, 2008
All ballots must be post marked by October 12, 2008
Members will not be allowed to cast officer ballots at the Annual Meeting on October 18, 2008.

A reminder in order to vote in an officer election one must have joined Sonoran Sunrise Grove by August 1, 2008 and have attended eight events. The eight events are counted from Lughnasadh 2007 to August 1, 2008.

Open EC Position Descriptions

Secretary
· Shall record minutes of all Annual and Executive Committee meetings (either directly or through a designated assistant) and keep records of the proceedings of all committees (to be submitted by each committee head).
· Shall send mail ballots to voting members and shall be responsible for collecting proxies and absentee ballots.
· Shall organize incoming correspondence and reply as necessary. · May countersign all checks, drafts and other instruments of the grove.
· May perform other duties that would otherwise be performed by the secretary of a voluntary association.
· Candidates for the office of Secretary shall have the ability to take minutes and have typing skills.
· Shall be responsible for compiling a quarterly report of events and minutes of meetings to be sent to the Senior Druid for inclusion in the Grove quarterly report to ADF.
· Shall have access to E-mail.
· The term of office of the Secretary shall be for two (2) years.

Members At Large
· Shall represent the members of the Grove to the Executive Committee.
· Shall have no fixed duties but may be assigned temporary duties by the Executive Committee.
· Shall have access to E-mail.
· The term of office of the Members at Large shall be for two (2) years.
